Job DescriptionJob DescriptionJob Title: Law Office ManagerLocation: Westwood, CaEmployment Type: Full-TimeReports to: Managing Partner About the RoleWe are seeking a proactive, detail-oriented Law Office Manager to oversee and optimize the day-to-day administrative, financial, and procedural operations of our growing Personal Injury Law Firm. The ideal candidate will have a strong background in legal operations or office management, with excellent leadership, communication, and problem-solving skills. This role is essential in supporting attorneys and staff to ensure seamless client service, case management efficiency, and overall firm productivity.Key ResponsibilitiesOperational OversightOversee daily operations, ensuring the smooth functioning of all administrative and support functions.Implement and maintain efficient systems and workflows for case intake, litigation support, calendaring, and file management.Monitor compliance with firm policies, legal regulations, and deadlines.Team Leadership & Human ResourcesSupervise and support administrative staff, paralegals, and legal assistants.Coordinate hiring, onboarding, and training of new staff.Conduct performance reviews, manage scheduling, and foster a collaborative team culture.Financial & Vendor ManagementManage firm budgeting, invoicing, payroll coordination, and expense tracking in collaboration with accounting.Oversee vendor relationships, including office supplies, technology, document services, and medical record retrieval providers.Technology & SystemsAdminister legal practice management software (e.g., Clio, SmartAdvocate, Filevine).Coordinate IT support and improvements to firm technology, cybersecurity, and remote access systems.Analyze data and metrics to improve operational efficiency and identify growth opportunities.Client Experience & ComplianceImprove client communication protocols and support client satisfaction throughout the case lifecycle.Maintain HIPAA compliance and ensure secure handling of confidential information.Assist in managing case flow, calendaring critical deadlines, and facilitating trial preparation support.QualificationsBachelors degree in Business Administration, Legal Studies, or related field (required).3+ years of experience in law firm operations or office management, preferably in personal injury or litigation.Strong leadership and interpersonal skills with a proven ability to manage staff and foster teamwork.Experience with legal case management systems, billing software, and workflow automation.Excellent organizational, time management, and analytical skills.Knowledge of personal injury law processes and terminology is a plus.Why Join Us?Competitive compensation and benefits package.Supportive, collaborative team environment.Opportunity to make a real impact on firm performance and client service.Room for growth in a fast-paced, mission-driven law firm.
