Job DescriptionJob DescriptionAbout the Role:We are seeking a highly organized and tech-savvy Executive Assistant to support our COO and assist with auction consignment processing and consignor customer service. This role requires a detail-oriented professional with strong computer skills, CRM experience (Salesforce, HubSpot, etc.), and sales knowledge to help streamline consignment operations and enhance the client experience.The ideal candidate will play a crucial role in managing consignments, communicating with consignors, and supporting auction logistics, ensuring a seamless process from intake to sale.Key Responsibilities:Executive & Administrative Support: Manage the COOs calendar, appointments, and travel arrangements. Handle email correspondence, phone calls, and client communications on behalf of the COO. Assist in preparing reports, presentations, and tracking key business metrics. Coordinate meetings, take minutes, and follow up on action items. Support special projects and maintain confidentiality in sensitive business matters.Auction Consignment Processing & Operations: Assist with the intake, organization, and documentation of auction consignments. Work closely with the consignment and operations teams to ensure consignments are processed efficiently and accurately. Maintain consignment records, contracts, and inventory in CRM and auction management systems. Liaise with clients to obtain necessary documentation, photos, and consignment details. Assist with cataloging and preparing items for auction, ensuring all necessary details are accurately entered into the system.Consignor Customer Service & Sales Support: Serve as a primary point of contact for consignors, ensuring top-tier customer service. Provide updates to consignors regarding their submissions, auction timelines, and post-auction results. Address consignor inquiries and resolve issues in a professional and timely manner. Assist in reviewing and processing consignment agreements and payments. Follow up with potential consignors and assist in generating new business opportunities. Work within CRM system to track consignor interactions, leads, and opportunities.Technical & Computer Skills: Proficiency in: CRM platforms such as Salesforce, HubSpot, or other sales/auction management software. Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Google Workspace (Docs, Sheets, Slides, Gmail, Drive). Data entry, report generation, and database management.Qualifications & Experience: Proven experience as an Executive Assistant, Sales Assistant, or in an auction-related administrative role. Strong sales and customer service background, preferably in auctions, collectibles, or consignment-based businesses. Hands-on experience with CRM systems (Salesforce, HubSpot, or similar tools) is required. Highly organized, detail-oriented, and able to handle multiple tasks simultaneously. Strong written and verbal communication skills. Ability to handle confidential information with discretion. Familiarity with the auction industry or collectibles market is a plus.Preferred Qualifications: Previous experience in an auction house, consignment business, or luxury goods industry. Knowledge of auction management platforms or consignment tracking systems.
