Job DescriptionJob DescriptionDescription:Hybrid role in Johnston RIThe Engineering & Research (E&R) Department is seeking a Project Coordinator. This position reports to the Staff SVP of Research, though will support the overall E&R leadership and portfolio, and is responsible for supporting the planning, implementation and tracking of department projects. They support department leadership by monitoring and tracking health and progress of all projects within a portfolio. This includes supporting intake, administration of project management tools and portfolio reporting. They also work closely with program/project managers to ensure that all aspects of a project are completed on time, within budget, to the satisfaction of stakeholders and in adherence to standards. They create project plans, monitor project progress, communicate updates to team members and management, produce reporting and metrics.Due to client requirement, applicants must be willing and able to work on a w2 basis. Rate: $40 - $45 / hr. w2Responsibilities:Design, prepare and distribute regular portfolio, program or department wide reports Manage and monitor intake process including facilitating prioritization and approval of new requestsCollaborate with leads on charters, budget reporting and resource allocationEnsure department leadership is aware and aligned on project health and other identified portfolio activities Serve as administrator of project management tool (Workfront) which includes managing user access, developing reports and ensuring overall hygiene of projects within the portfolioPartner with PMs to develop and maintain project documentation including status reports, project plans, stakeholder registry, risk/issue log and change requestsFollow-up with project leadership and project team members on overdue tasks and activitiesEnsure compliance with processes, standards and document storage/archive guidelines Coordinate and support meetings, working sessions and event scheduling Capture and summarize meeting outcomes, takeaways and action items Support leads to coordinate execution of vendor management activities such as contract reviews, information security assessments, approvals and onboardingSupport development, tracking and reporting of success metrics for project within the portfolio Support development and distribution of project communications including PowerPoint presentationsWork with leads to drive continuous improvement in project practices and processesExperience Requirements:1-3 years of experience in project coordinator role with successful track recordExperience in supporting medium- and large-scale projectsStrong organizational and communication skillsExperience with a project management tool (e.g., Workfront) a plusStrong relationship-building with leadership and internal stakeholdersBachelor's degree requiredTechnical Ability: Knowledge of standard project management best practices. Knowledge of and experience with standard documentation and project management tools (e.g., Workfront, Excel, PowerPoint) and able to learn and adapt effectively to new operational toolsCommunication: Ability to clearly and effectively convey information (written and oral presentation), actively listen to partners, and collaborate with team members to ensure project objectives are met Planning & Organizing: Effective at managing tasks, prioritizing responsibilities, and maintaining accurate documentation to ensure project efficiency and successCritical Thinking: Ability to analyze complex information, identify problems or opportunities and present options for evaluation by leadsPartnership Building: Ability to work effectively with stakeholders at all levels of the organization Ability to muti-task and work under pressure Skills, experience, and other compensable factors will be considered when determining pay rate. The pay range provided in this posting reflects a W2 hourly rate; other employment options may be available that may result in pay outside of the provided range.
